You’re getting married in France, maybe in Provence, in a chateau near Paris, or somewhere else you completely fell in love with.
You’ve found your venue. You’ve booked your caterer.
Your photographer and videographer might already be confirmed, and your floral design is starting to take shape.
And as the list of details keeps growing and your wedding starts to really come together, you begin to realize you need a day-of coordinator.
Especially when you are planning from abroad, having someone local to step in during the final stages, finalize everything, and take over on the day feels essential. Someone who can manage everything behind the scenes so you can fully enjoy your celebration.
But in France, wedding day coordinators come at very different price points and work in very different ways, and it’s not always clear what you’re really getting.
To help you navigate this, here are the most common mistakes I see, and what to look for instead.
Mistake 1: Assuming all wedding day coordinators offer the same level of service (and choosing based on price)
When you start comparing wedding day coordinators in France, it’s easy to assume the service is the same across the board.
So the decision naturally shifts toward price. And I completely understand why.
At first, it can feel like you simply need “someone on the day”, to make sure everything runs smoothly, and handle a few last-minute questions. But in reality, successful coordination is more about what happens before the wedding day.
In France, you’ll typically find day-of coordination services starting around €1,500-€2,500.
At this level, the service is often quite light, with 2-3 preparation calls in the final weeks. The coordinator then contacts your vendors to confirm key details, and steps in on the wedding day to follow the timeline and manage the flow based on the information you’ve provided.
If you are looking for a more in-depth approach, you’ll find coordination services ranging from €3,500 to €5,000+
At this level, coordination usually begins around 3 months before the wedding, with multiple preparation calls, a much more detailed level of involvement, and at least 2 coordinators present on site over multiple days.
Everything is carefully reviewed: your timeline, of course, but also setup and breakdown logistics, vendor contracts, ceremony flow and music, floor plans, seating plans, rental lists, shuttle logistics…
The coordinator takes the time to understand your expectations for each vendor, coordinate speeches and surprises, and ask the right questions to identify anything missing or anticipate potential challenges.
That’s what allows the coordination team to truly take over on the wedding day, with a clear understanding of your vision and the ability to handle anything unexpected with confidence.
So price alone shouldn’t be the deciding factor. What really matters is how much support, preparation, and control you want behind the scenes.
My advice:
If your budget allows, choose a wedding coordinator with at least 3 years of experience, because you want someone who has seen it all!
Ask how they approach coordination. How involved they are before the big day. What kind of weddings they usually work on in terms of guest count, style, or venue type.
And ask them this: What went wrong at a recent wedding, and how did you handle it?

Mistake 2: Hiring your day-of coordinator too late in the process
Many couples only start looking for a day-of coordinator once most of the planning is already done.
It feels logical. Everything is booked, decisions are made, and coordination becomes the final step.
But this is often where things become limiting.
A strong coordination service starts well before the wedding day. It involves understanding your vision, reviewing everything that has been planned so far, identifying what still needs to be refined, and helping you finalize a detailed and realistic timeline.
It also means connecting with your vendors ahead of time, aligning everyone, and making sure nothing is left unclear.
The earlier a coordinator steps in, the more they can bring structure and clarity to your wedding. They can identify gaps, adjust timings, and anticipate potential issues while there is still time to refine things properly.
When coordination begins too late, everything becomes more compressed. Timeline issues are harder to fix, communication with vendors is rushed, and certain details end up being handled at the last minute.
My advice:
Choose a coordination service that starts at least 2 to 3 months before the wedding. This gives you the time to go through every detail together and refine things with your coordinator’s input.
It also allows your coordinator to really understand your wedding inside and out, and anticipate anything that could affect the flow of the day.
Mistake 3: Overlooking the personality fit
When choosing a wedding day coordinator, strong on-the-ground experience is essential.
But personality and communication matter just as much because you’re choosing the person who will be by your side in the final weeks, and fully in charge on the day!
1/ Fluent French and English is a must for a destination wedding in France, not only to coordinate vendors, but also to interact with your guests, answer questions, and ensure everyone feels taken care of.
2/ You need someone who communicates clearly, stays calm under pressure, and brings a sense of confidence to everyone around them.
3/ Energy that feels right to you. Whether you prefer someone calm and discreet or more vibrant and fun, what matters is that you feel excited to work with them and fully trust them to take the lead on your wedding day.
My advice:
I always recommend speaking with at least 2 or 3 coordinators before making your decision. Pay attention to the questions they ask, and how well they understand your expectations.
From the very first call with the right person, you should feel connection, ease and a sense of trust.
